Essential Definitions

Electronic Signature

It is an equivalent to the handwritten signature made on a digital document. Smart Sign uses the asymmetric key or double key system, a public and a private call, contained within a certificate, both keys are related mathematically. Electronically signing a document ensures the integrity of the information contained within it, the date and time the operation was carried out and who signed it.

Digital Signature

Allows the electronic signature (identification and proof of an act of will) to be attributed safely to a specific signer. The procedure is the same, the difference is that the certificate has been issued by a Certification Authority.

Smart Sign Features

All signed documents are archived on a secure server so that they can be consulted at any time.

The system allows that at the time of signing a co-signer, they can choose the "Conform" or "Non-conform" signature options.

The versatility of Smart Sign allows the same user to manage more than one business unit with the same account. Ideal for economic groups.

An outstanding feature is being able to group documents into application areas, e.g., "Payslips", "contracts", "purchase orders", etc.

Business units can be shared with other users so they can attach documents (but never sign them as owners), allowing easy collaborative work.

Via mail and/or cell phone notifications, the co-signers will be informed that they have a new document.

At the time of signing you will need to have a certificate; it can be found in a token device, upload your own to the platform or create one with the system. In the last two cases, they are stored in a secure certificate container.

Getting started with Smart Sign

Step 1

Click on the Enter button, you will be asked for some basic data and a validation of your email.

Step 2

Once inside the application you will have a basic role to receive documents, view them and sign them. If you want to attach your own documents, you will have help to update your role to administrator.

Step 3

You can now start using the platform! Create folders, upload documents, sign them and share them with your contacts. The system is totally intuitive, but you will also have extensive help (FAQs, tutorials, videos).
